Paythen's Zapier app lets you trigger payment plan links sent via email based on changes in almost any app or send customer data, progress and more from Paythen into your CRM, Google Sheets, Slack, and most other tools you'll use in your business. We've highlighted some popular integrations here.
We also have some direct integrations like WooCommerce which uses our native plugin and Cardivo eGift cards which has a two-way integration with Paythen.
Here are the broad steps to use Paythen & Zapier
Create or log in to your Zapier account
Create a new Zap and choose Paythen from the list of trigger apps OR choose your other trigger app and choose one of the Paythen actions in the action step later
Paythen has 6 triggers and 3 actions. You can see them all here. Each trigger and action has detailed data, including all relevant customer, plan and payment information. This includes custom fields, progress, discounts and more so you can create granular workflows.
For most Paythen triggers, you can choose whether you want the zap to work for all plans or only for specific plans. If you choose a specific plan, you will also see the option to map any plan-specific custom fields in the next step
When using Paythen as a trigger, choose an action app to send your data to, and configure that as you would any other Zap. Or if you're using Paythen in the action step, you can choose one of the actions and follow the on-screen instructions.

š All of Paythen's triggers are instant (webhook based), so Zapier picks them up as soon as we send them. For most triggers, we hold the data for a deliberate 3-5 minute window before sending it to Zapier. This ensures no incomplete or invalid customer records are sent through to Zapier before being fully up to date in Paythen.
Zapier triggers
New Customer
Triggers when a new customer is created in your Paythen account. Sends customer data including standard fields like the name and email, plan data like the plan name, expected vs. collected amounts, the customer summary link, and even custom field data. If the same customer signs up to multiple plans, each sign up is treated like a new customer. Also includes custom metadata which has a unique identifier for the customer as well as the plan.
Successful Payment
Triggers each time there is a successful payment in your Paythen account. Includes standard fields like the customer's name and email, and plan data like the plan name, expected vs. collected amounts, the customer summary link, and even custom field data. Also includes custom metadata which has a unique identifier for the customer as well as the plan. Works for all plan types and all payments including upfront payments or scheduled payments.
Failed Payment
Triggers each time a scheduled payment fails (not failed attempts when a customer is trying to sign up). Applicable to payment plans and subscriptions.
Plan Completed
Triggers each time a customer completes a Paythen payment plan. Includes standard fields like the customer's name and email, and plan data like the plan name, expected vs. collected amounts, the customer summary link, the completion date, and even custom field data. Also includes custom metadata which has a unique identifier for the customer as well as the plan. Works for the "payment plan" plan type
Plan Cancelled
Triggers when a customerās plan is cancelled. Applicable to payment plans and subscriptions.
Customer Status Change
Triggers when a customer's status changes in your Paythen account. This is the trigger to use when you want to react to a customer moving from one state to another, rather than to a single event like a payment.
When you set this trigger up, you'll pick the status you want to watch for in the "When a Customer's Status changes to" field. This is required, and the zap will only fire when a customer moves into that status. Your customers can have these statuses in Paythen:
In progress
Completed
Cancelled
Overdue - Retrying
Overdue - At risk
Overdue - Manual action required
For a full breakdown of what each status means and when a customer moves into it, see Customer statuses in Paythen.
You can also optionally choose a specific plan so the trigger only fires for customers on that plan, or leave it blank to watch every plan in your account.
Zapier actions
Send Payment Plan Link via Email
Sends your customer an email from Paythen with their unique Paythen payment plan link, built from values you pass in from the trigger step. This is how you create a custom payment plan for someone off the back of a form submission, a CRM update, a booking, or almost anything else.
You'll need to provide these fields:
Template type
Paythen template link
Customer email
Plan name
Total payment amount
And these optional fields let you tailor the plan and the email further:
Customer first name
Number of payments
Currency
Billing interval
Delay payment plan start by X days
Custom confirmation page link
Plan description
Include custom text in email
Every one of these can be mapped to data coming from your trigger app, so the amount, the number of payments, the currency and the wording of the email can all be different for every customer.
Find Customer
Searches for and returns any customer records in your Paythen account matching the name, email and status filter you set. Always returns one result. This is useful for email based workflows or any workflow where you want to automatically check if a customer signed up to a payment plan they were shown or emailed. Read more here.
Find Plan
Searches for and returns any existing plans in your Paythen account matching the plan name, internal name or unique plan identifier (NFID) you provide. Always returns one result. Read more here.
